FFTEAM Ltd - Membership Terms, Policies & Waivers
1. Membership Terms & Conditions
These Terms and Conditions form a legally binding agreement between FFTEAM Ltd (“the Company”, “we”, “us”, or “our”) and the Member (“you”, “your”).
By purchasing a membership or participating in training sessions, you agree to comply with all terms herein.
1.1 FFTEAM Ltd operates from Unit 4, 80 Market Street, Shipdham, Thetford, IP25 7LZ. The Company provides small group personal training and large group hybrid training services.
1.2 Memberships are available on a monthly basis and are non-transferable.
1.3 All bookings must be made through the approved booking application. Membership access is contingent upon payment being received.
1.4 The Company reserves the right to amend class times, schedules, and services at any time. Reasonable notice will be provided.
1.5 The Company reserves the right to refuse service or terminate memberships for breach of conduct or failure to comply with these terms.
1.6 Members are responsible for ensuring they are medically and physically fit to participate.
2. Privacy Policy (UK GDPR Compliant)
FFTEAM Ltd respects your privacy and is committed to protecting your personal data in accordance with the UK General Data Protection Regulation (UK GDPR).
2.1 We collect and process data such as your name, contact information, payment details, and health declarations to provide our services.
2.2 Your information is stored securely and will not be shared with third parties except where required by law or necessary to deliver our services (e.g., payment processors or booking platforms).
2.3 You have the right to access, correct, or request deletion of your data. Requests can be sent to info@ffteam.co.uk.
2.4 FFTEAM Ltd may use anonymised data for marketing insights or performance analysis.
2.5 Our website and booking app may use cookies to improve user experience. You may disable cookies via your browser settings.
3. Health Declaration / PAR-Q Policy
3.1 All members must complete a Physical Activity Readiness Questionnaire (PAR-Q) before commencing training.
3.2 You must disclose any pre-existing medical conditions, injuries, or medication that may affect your participation.
3.3 You agree to notify FFTEAM Ltd immediately of any changes to your health status.
3.4 FFTEAM Ltd reserves the right to refuse participation if your health poses a risk to yourself or others.
4. Liability Waiver
4.1 You acknowledge that participation in physical training involves inherent risks including, but not limited to, injury, illness, and property loss.
4.2 You voluntarily assume all risks associated with participation and agree that FFTEAM Ltd, its directors, employees, and agents shall not be liable for any injury or loss unless caused by proven negligence.
4.3 You agree to follow all instructor guidance and safety protocols during sessions.
5. Cancellation, Refund & Membership Freeze Policy
5.1 All memberships are billed monthly in advance and are non-refundable.
5.2 Members may cancel a class booking up to 12 hours before the session start time without penalty. Late cancellations or no-shows may result in loss of session credit.
5.3 Membership freezes may be granted for medical reasons or extended absence at the discretion of FFTEAM Ltd. Medical supporting evidence will be required.
5.4 FFTEAM Ltd reserves the right to cancel sessions due to unforeseen circumstances. In such cases, affected members will be credited or rescheduled accordingly.
6. Media & Marketing Consent Policy
6.1 FFTEAM Ltd may capture photographs and videos during sessions or events for promotional use on social media, the company website, and marketing materials.
6.2 Members who do not wish to appear in media must inform FFTEAM Ltd in writing prior to participation.
6.3 All content remains the intellectual property of FFTEAM Ltd.
7. Client Code of Conduct
7.1 Members must treat staff and other clients with respect at all times.
7.2 Appropriate training attire and hygiene are required.
7.3 Equipment must be used correctly and returned after use.
7.4 Any damage to property caused by negligence may result in charges or membership termination.
7.5 Alcohol, drugs, or abusive behaviour will not be tolerated under any circumstances.
7.6 Members are responsible for their own health and safety and personal hygiene and should conduct their activities in a safe manner at all times and so as not to impact on the health and safety of themselves or others while on the premises.
7.7 We accept no liability for lost or stolen goods whilst on our premises unless as a direct result of our negligence. Property stored on the premises is at your own risk.
Cars parked and their contents are your responsibility and we will not accept liability for loss or damage.
8. Health & Safety / Emergency Procedures Policy
8.1 FFTEAM Ltd complies with UK Health and Safety regulations and maintains up-to-date risk assessments.
8.2 Emergency exits and first aid equipment are clearly marked and available within the premises.
8.3 Members must follow all staff instructions during emergencies.
8.4 Any accident or injury occurring within the premises must be reported immediately to a member of staff.
9. Additional Legal and Operational Clauses
9.1 Membership Commitment Clause
Memberships may, at the discretion of FFTEAM Ltd, be subject to a minimum commitment period as specified at the time of sign-up.
Early termination before the end of the agreed term may incur a charge equivalent to a percentage of the remaining contract balance.
9.2 Late Payment & Debt Recovery
If a membership payment fails, FFTEAM Ltd reserves the right to suspend membership privileges until full payment is received.
Persistent non-payment may result in membership termination and recovery proceedings for any outstanding balances including all costs, legal expenses and fees.
9.3 Staff Conduct & Coaching Standards (Internal Policy)
All FFTEAM Ltd staff and coaches are expected to maintain appropriate professional qualifications, including safeguarding and first aid certifications.
Staff must act with professionalism, respect, and confidentiality at all times, adhering to the standards of the fitness industry.
9.4 Safeguarding & Equality Statement
FFTEAM Ltd promotes an inclusive and respectful environment for all participants.
We do not tolerate discrimination, harassment or abuse on any grounds. Safeguarding and equality are core principles of our operation.
9.5 Data Retention Policy
Personal, health, and contact information will be securely retained for no longer than six (6) years following the end of your membership, unless otherwise required by law or for legitimate business purposes.
Data will then be securely deleted or anonymised.
9.6 Equipment Liability Clarification
All equipment remains the property of FFTEAM Ltd or its respective leasing or financing partners. Members are responsible for appropriate and safe use of equipment under supervision.
Intentional or negligent damage may result in charges or termination of membership.
9.7 Force Majeure Clause
FFTEAM Ltd shall not be liable or deemed to be in breach of these Terms for any delay or failure to perform resulting from events beyond its reasonable control,
including but not limited to acts of God, natural disasters, power outages, government restrictions, or public health emergencies.
10. Additional Protective and Operational Enhancements
10.1 Complaints & Dispute Resolution
FFTEAM Ltd aims to resolve all complaints promptly and professionally. Members should raise any issue in writing to the Director within 14 days of occurrence.
If the matter remains unresolved, mediation may be sought prior to any legal proceedings.
10.2 Membership Suspension for Misconduct
FFTEAM Ltd reserves the right to immediately suspend or terminate membership without refund if a member behaves in a manner deemed unsafe, disruptive, abusive, or damaging to the reputation of the company.
10.3 Intellectual Property & Brand Protection
All content, training programmes, class designs, training methods, logos, and marketing materials created by FFTEAM Ltd remain the intellectual property of the company.
No materials may be used, reproduced, or disseminated without prior written consent from FFTEAM Ltd.
10.4 Medical Clearance & Injury Recovery
Members recovering from injury or surgery must provide written clearance from a qualified medical professional prior to resuming participation in training sessions.
10.5 Insurance Disclosure Statement
FFTEAM Ltd maintains appropriate Public Liability and Professional Indemnity Insurance. Copies of current certificates are available upon request.
10.6 CCTV & Security Policy
For the safety of staff and members, CCTV may operate within the premises. Recordings are stored securely and accessed only for legitimate security purposes in compliance with UK law.
10.7 Age Policy
All members must be aged 18 or over unless participating in a pre-approved youth training program with written parental consent.
10.8 Health & Safety Review Statement
FFTEAM Ltd conducts routine risk assessments and safety audits to ensure that the facility, equipment, and operations meet or exceed UK health and safety standards.
10.9 Cooling-Off Period (Consumer Protection)
New members have a statutory 14-day cooling-off period from the date of purchase to cancel their membership and receive a full refund, provided no sessions have been attended. This complies with UK consumer protection regulations.
10.10 Payment Methods & Auto-Renewal
Memberships are billed monthly in advance via direct debit or approved card payment. Unless cancelled in accordance with these Terms, memberships will auto-renew each month.
10.11 Governing Law & Jurisdiction
These Terms and Conditions are governed by the laws of England and Wales. Any disputes arising shall be subject to the exclusive jurisdiction of the courts of England and Wales.
10.12 Legal Basis for Data Processing
FFTEAM Ltd processes personal data under the lawful basis of contract, consent, and legitimate interest, as defined by the UK GDPR. We only collect data necessary to deliver our services and fulfil our legal obligations.

10.14 Medical Disclosure Consent
By completing the PAR-Q, you consent to FFTEAM Ltd sharing relevant health information with qualified medical professionals if required for your safety or in the event of an emergency.
10.15 Indemnity Clause
You agree to indemnify and hold harmless FFTEAM Ltd, its directors, employees, and agents from any claims, liabilities, damages, or expenses arising from your participation, except where caused by proven negligence.
10.16 Membership Cancellation Notice
To cancel your membership, written notice must be provided at least seven (7) days prior to your next billing date. Cancellations received after this period may result in the next billing cycle being charged.
10.17 Refund Exceptions
Refunds may be considered in exceptional circumstances, such as medical incapacity or relocation, at the sole discretion of FFTEAM Ltd. Supporting documentation may be required.
10.18 Media Opt-Out Enforcement
Members who opt out of media capture will be excluded from all promotional photography and videography. FFTEAM Ltd will make reasonable efforts to honour this request during sessions and events.
10.19 Social Media Conduct
Members must refrain from posting defamatory, misleading, or harmful content about FFTEAM Ltd, its staff, or other members on social media platforms. Breach of this clause may result in membership suspension or termination.
10.20 Fire Safety & Evacuation
Fire exits are clearly marked and evacuation procedures are displayed within the premises. Members must familiarize themselves with these protocols and follow staff instructions during any emergency.
10.21 Intellectual Property Enforcement
FFTEAM Ltd reserves the right to pursue legal action against any unauthorized use, reproduction, or distribution of its intellectual property, including training programs, branding, and marketing materials.
10.22 Third-Party Services Disclaimer
FFTEAM Ltd is not responsible for the actions, data handling, or service quality of third-party providers, including booking platforms, payment processors, or external contractors.
10.23 Youth Safeguarding Protocols
Youth training programs are supervised by DBS-checked staff and operate under FFTEAM Ltd’s safeguarding policy. Written parental consent is required for all under-18 participants.
10.24 Insurance Scope Clarification
FFTEAM Ltd’s insurance covers public liability and professional indemnity. It does not extend to personal belongings or injuries resulting from member negligence or failure to follow safety instructions.
10.25 Temporary Closures
FFTEAM Ltd reserves the right to withdraw all of any part of our facilities, training programs, equipment etc for short periods of time to carry out unexpected maintenance and repairs, deep cleaning etc. We will always attempt to give adequate notice. No refunds will apply in these circumstances but activities and programs will be rescheduled.
By purchasing a membership or attending a class at FFTEAM Ltd, you acknowledge that you have read, understood, and agree to abide by all Terms and Policies outlined in this document.
